Your Privacy and Your Personal Data

The Visual Art Network (VAN) is committed to upholding your privacy and taking care with personal details that you consent to supply as a member of VAN and as a user of www.visualartnetwork.org.uk

VAN complies with all applicable UK and EU data protection legislation in force in respect of any personal information you submit to us.


Contact Information

Basic contact information, including name, postal address, telephone and email address is required to:

● process your membership of VAN

● provide the VAN website service

● administrate the organisation and its activities

Contact information that you provide to VAN in a hard copy format, for example, for processing exhibition and member’s showcase payments, is stored securely. Bank account details that you provide in order for VAN to process payments for sales of work are used only to set up a BACS transfer and are not held separately in any of VAN’s accounting systems.

E-mails. You should be aware that when you contact VAN via email at admin@visualartnetwork.org.uk or visualartnetwork@gmail.com your message is sent via the internet and is stored on Google servers. You should not send sensitive information via the internet unless as a password protected attachment.

VAN has a Gmail contact list which stores basic contact information on Google servers.

If you wish to withdraw consent for VAN to store and process personal information for the purposes stated you may do so at any time by emailing VAN at admin@visualartnetwork.org.uk or by letter at the following address:

Membership Account on Website

Personal details are kept to provide your membership website services and process your account on the website. If you withdraw email consent VAN will be unable to administrate your membership..

Be aware that if your membership expires the account will remain dormant on the website system until renewal payment is received. If after a period of 3 years you have not renewed membership the account will automatically be deleted and cannot be reactivated. The content of your Profile page will be lost. You can request that your account is deleted at any time by contacting VAN.

Information collected on this website

VAN collects personal information from you with your consent when you use the Website. This includes, when you:

● join VAN as a member

● contribute material or post User Content to the Website

● enquire about the Website, our services and/or about VAN

● use our services offered or facilitated through the Website

● request or share information through the Website

● register for any of our mailing lists or events through the Website; and/or contact us through the
   Website, or in any other way.

This personal information may include:

● your name (including your first name(s) and surname)

● your email address

● your postal address

● your telephone number

● and any personal information included in User Content that you provide to the Website

Your personal information will only be used and/or stored by us for legitimate purposes, for example to:

● process your requests

● respond to your questions or comments

● provide or administer activities relating to VAN, or services through the Website

● display any content you have provided on the Website

● process your membership

● provide you with information relating to VAN, the Website or our services, or that we feel may be of

● maintain our organisational records

● carry out research or prepare reports and/or carry out marketing evaluation; and supply your
   information to third parties as described below

Disclosure of information

Any personal information that you provide when you use the Website may be shared with the following persons/organisations:

● providers of support services to VAN

● companies or organisations that are Member Organisations and/or support the work of VAN within
   the bounds of VAN's constitution

● members of the public that access the Website (including other members of this Website) and are
   able to view User Content you have posted to the Website

VAN accepts no liability for any misuse of your personal information by third parties and you therefore proceed at your own risk.

The Visual Art Network will not sell, trade, or rent to others any of your personal information provided via this Website except as set out above or unless we have had your informed consent to do so.

Storage of data

Data is stored on a secure server and used only for the purposes set out above. Please note:

● Login and password - no password details are accessible. It is the responsibility of members to
   keep account passwords secret and secure

● This Website does not store payment information. VAN, or any third party suppliers, do not have
   access to your payment details during transactions

● Your IP address, search data and browser information may be collected for Website analytical
   purposes

Analytical information is collected using cookies (see below). We use Google Analytics for researching website user statistics.

Data storage security

Whilst every effort is made to store your data safely using a secure server, transmitting data through the internet will never be completely secure and cannot be guaranteed. Submitting content to this website is at your own risk.
